Job Summary: The Event Manager will oversee all aspects of event planning and execution, ensuring that each event meets the client’s needs and is delivered to the highest standard. The role requires excellent organizational skills, a keen eye for detail, and the ability to manage multiple tasks and deadlines.
Key Responsibilities
- Event Planning and Coordination:
- Develop event concepts, proposals, and plans in collaboration with clients.
- Create and manage event timelines, budgets, and logistics.
- Source and negotiate with vendors, suppliers, and venues.
- Coordinate event staff, including volunteers, caterers, and technical support.
- Client Management:
- Communicate with clients to understand their needs and expectations.
- Provide regular updates and progress reports.
- Address and resolve any issues or concerns promptly.
- Budget Management:
- Develop and manage event budgets, ensuring costs are controlled and financial targets are met.
- Process payments, track expenses, and manage invoices.
- Marketing and Promotion:
- Develop marketing strategies and materials to promote the event.
- Utilize social media, email campaigns, and other channels to increase visibility and attendance.
- On-Site Event Management:
- Oversee event setup, including staging, decorations, and equipment.
- Manage event execution, ensuring all elements run smoothly.
- Handle any on-the-spot issues or changes as they arise.
- Post-Event Evaluation:
- Conduct post-event evaluations to assess the success of the event and gather feedback.
- Prepare and present post-event reports to clients or stakeholders.
- Compliance and Safety:
- Ensure all events comply with legal and safety regulations.
- Implement risk management and emergency procedures.
Qualifications
- Bachelor’s degree in Event Management, Hospitality, Marketing, or related field (or equivalent experience).
- Proven experience in event planning and management.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficiency in event management software and tools.
- Ability to work under pressure and meet tight deadlines.
- Flexibility to work evenings, weekends, and holidays as required.
Preferred Skills:
- Certification in event management or related field.
- Experience with digital marketing and social media.
- Knowledge of current event trends and technologies.
